What is RAG?
RAG helps AI answer with your information, not just its training.
RAG stands for Retrieval-Augmented Generation. It improves AI by pulling in relevant business information before the model writes an answer.
Question: A user asks something specific.
"What is our return policy for special orders?"
Retrieve: The system searches approved files, notes, manuals, FAQs, or records.
Augment: The best matching information is added as context for the model.
Generate: The AI writes a more relevant answer using that retrieved context.
RAG gives AI fresh context without retraining the whole model.

The short answer

RAG stands for Retrieval-Augmented Generation: the AI first searches your approved documents, notes or records for the relevant passages, then uses them as context to write its answer. It lets an AI answer from your own business information without retraining the model, but it is only as good as the documents it can find.

Three things to remember

  1. 01RAG searches first and writes second: it finds relevant passages, adds them as context, then the AI answers.
  2. 02Messy documents in means messy answers out, so use clean, approved sources and respect who may see what.
  3. 03Good RAG points back to the source it used, and people still review high-stakes answers.

    How RAG works

    A simple search-and-answer loop

RAG works by finding relevant information first, then using it to help the model answer more accurately.

Ask: A user asks a question.

Search: The system looks across approved documents, notes, databases, or websites.

Select: It pulls the most relevant passages or records.

Ground: Those results are added as context for the model.

Source of truth = your connected information.

Answer: The AI writes a response based on that context, and can include the source.

RAG searches first and writes second.

  3. 03

    Why RAG matters

    Better context creates better answers

    AI only

    Relies on general training

    May guess or stay generic

Can miss company terms and details

    Harder to verify

    AI + RAG

    Uses your actual business information

Grounds the answer in retrieved facts

Uses your products, policies, and language

Easier to trace back to the source

RAG does not make the model all-knowing. It gives the model better context.

When the context improves, the answer usually improves too.

  4. 04

    What makes RAG good

RAG is only as good as what it can find.

Messy documents in = messy answers out.

Good sources: Clean policies, FAQs, manuals, records, or knowledge-base content.

Smart retrieval: The system must find the most relevant information, not random matches.

Clear permissions: Users should only retrieve information they are allowed to see.

Useful answers: The model should summarize the retrieved content clearly and accurately.

Great RAG depends on strong content, strong search, and sensible guardrails.

  5. 05

    Where RAG helps

Use it when the answer needs your business knowledge

Best for questions that depend on your information, not just public knowledge.

Customer support: Answer common questions using your FAQ, warranty, and policy documents.

Sales & quotes: Pull product details, pricing notes, and proposal language from approved files.

Operations: Help teams find SOPs, checklists, or machine instructions faster.

HR & internal help: Answer handbook and process questions from your internal documentation.

RAG shines when the right answer already exists somewhere in your business.

  6. 06

    The small-business takeaway

Start small. Connect real knowledge. Keep humans in control.

Start with one use case: Pick one recurring question or workflow that depends on company information.

Use approved sources: Connect clean documents, policies, and records you trust.

Keep answers tied to evidence: Good RAG should point back to the information it used.

Review important outputs: Humans should still approve high-stakes answers and decisions.

Measure the payoff: Track time saved, fewer mistakes, and faster access to knowledge.

Question + Business knowledge + Retrieval + Review = Better answers

RAG makes AI more useful by giving it the right context at the right time.
